VoIP CRM integration

When your VoIP phone system and your CRM share information, staff see who is calling before they answer, dial with one click and spend far less time typing up call logs.

  • We reply by email
  • Forever Systems, part of Forever Group

In short

VoIP CRM integration connects your VoIP phone system to your CRM, so incoming calls pop the caller's record, users click a number to dial, and every call is logged against the right contact. 3CX PRO and AI connect natively to many CRMs, Microsoft Teams Phone works with Dynamics 365, and Webex adds integrations and contact centre tools.

What VoIP CRM integration does

The aim is less typing and better conversations. These are the features most teams use:

  • Screen pop: the caller's number is matched to a CRM contact, and their name and record appear as the call rings
  • Click to call: dial any number in the CRM or browser with one click, with no misdials
  • Call logging: each call's date, time, direction, duration and user is written to the contact's record automatically
  • Contact creation: an unknown number can create a new contact or lead, so new enquiries are not lost
  • Recording and transcript links: where the platform records calls, the recording can be linked to the record for coaching and disputes
  • Reporting: call activity sits alongside deals, tickets and accounts in your CRM reports

The features available depend on the phone platform, its edition and the CRM, so we check the exact list for your CRM before recommending a platform.

Why VoIP makes CRM integration easier

With a traditional phone system, linking calls to a CRM meant a separate computer telephony integration (CTI) server and a lot of cabling. A VoIP phone system is software, so it already knows when a call rings, is answered and ends, and can share those events with other systems through an API.

Most modern integrations use the CRM's REST API. When a call arrives, the phone system looks up the number, shows the match to the user, and writes a log entry back when the call ends. Users work either in the phone system's app or web client, which opens the CRM record, or inside the CRM, through an embedded dialler or a browser extension.

Because softphones and web clients run on the same computer as the CRM, integration is often simplest for staff who take calls on a laptop. See softphone vs desk phone for how that choice affects your team, and what is a VoIP phone system? for the wider picture.

Microsoft Teams PhoneThe Teams dialer brings Teams calling into Dynamics 365 Sales; other CRMs connect through Teams apps or third-party connectorsThe dialer needs Teams Phone, a PSTN route and an assigned number for each seller
Forever TeamsTeams calling over Direct Routing, so it uses the same Teams and Dynamics 365 integrations as Teams PhoneCheck the connector for your CRM works with Teams Phone users
Webex CallingIntegrations through the Webex App and Cisco's App Hub; Webex Calling Customer Assist adds screen pop for queue agents, and Webex Contact Center adds full contact centre toolsConfirm the current integration for your CRM with Cisco's list

CRM vendors and phone platforms change their integrations regularly, so we confirm the current position for your CRM and licences when we quote. For the wider choice of platform, see choosing the best VoIP phone system.

3CX CRM integration in practice

CRM integration is one of 3CX's strengths. When a call or message arrives, 3CX queries the CRM to match the caller's number, or the email address for live chat. If it finds a match, it adds the contact to 3CX, shows the caller's name in the web client and links straight to the CRM record. Depending on the integration, it can also create new contacts and write calls and chats back to the CRM as journal entries.

If your CRM, helpdesk or ticketing system is not on 3CX's list, its CRM integration wizard builds a template from the CRM's REST API documentation. 3CX says it needs only basic coding and web skills, which makes it a good fit for in-house or industry-specific systems; we can scope that work with you.

CRM integration is part of the PRO and AI editions. Our sister site goes into the detail on 3CX CRM integration, and our 3CX VoIP page explains the editions and licensing.

Microsoft Teams Phone with Dynamics 365

For organisations on Microsoft 365, the natural pairing is Teams Phone with Dynamics 365. Microsoft's Teams dialer brings Teams calling into Dynamics 365 Sales, so sellers make and receive calls without leaving the app, with the customer's details and call history in view.

Microsoft lists the prerequisites: a Teams licence, Teams Phone, a PSTN connection through a Calling Plan, your own carrier or Direct Routing, and a phone number assigned to each user. Microsoft also notes that when the Teams dialer is turned on, other telephony systems connected to Dynamics 365 through its Channel Integration Framework stop working for those users, so it is worth planning which dialler each team uses.

For other CRMs, many vendors publish a Teams app or connector that adds caller lookup and click to dial. Our Microsoft Teams VoIP page explains the Teams licences and PSTN routes these integrations rely on.

What it looks like day to day

The benefit shows up differently for each team:

TeamWhat changes
SalesClick to call from lead lists, every call logged against the deal, and call activity in pipeline reports without manual notes
Customer serviceThe caller's account and open tickets appear as the call rings, so agents skip the identity questions and get to the problem
ReceptionCallers are recognised by name and routed to their account manager, and unknown numbers can become new contacts
ManagersCall volumes, outcomes and recordings sit next to CRM data, which makes coaching and reviews quicker

Integration works best alongside good call handling. Queues, hunt groups and direct dial numbers decide who answers, and the CRM link makes sure they have the right information when they do. See VoIP phone system features and multi-line VoIP phone systems for the call handling side.

Planning a VoIP CRM integration

  1. List your systems. CRM, helpdesk, ticketing and any line-of-business system that holds customer phone numbers.
  2. Decide what you need. Screen pop, click to call, call logging, contact creation, recording links, or all of them.
  3. Clean the numbers. Store phone numbers in one consistent format, ideally full international format starting +44, so lookups match reliably.
  4. Check editions and licences. Confirm the phone system edition and any CRM licence the integration needs.
  5. Secure the connection. Agree the CRM account or API key the integration uses, with only the permissions it needs.
  6. Pilot with real calls. Test matching, logging and recording links with a small group before rolling out.

Recording links depend on recording being switched on, so read VoIP call recording alongside this page. Our sister site's phone system CRM integration guide covers feature-by-feature detail for cloud platforms.

How we help

We start from the CRM you already use and work back to the VoIP platform and edition that integrate most fully with it. Then we can set up the connection, map the call logging to your records, and test it with your team before go-live. If you are reviewing call handling at the same time, we can design queues, recording and reporting together, so the integration has the data it needs.

Contact us with your CRM and what you would like it to do, and we will recommend the options that fit.

How Forever Systems helps you choose a VoIP phone system

We supply and support several VoIP platforms, so we can recommend the one that fits how your team takes calls rather than fitting your business around one product.

  • Platform advice across hosted 3CX, Microsoft Teams Phone, Webex Calling, Forever UC and Forever Teams, with SIP trunks for phone systems you already own
  • A requirements check of your broadband, network and routers before anything goes live
  • Numbers and porting: we can help you keep your existing business numbers and plan the move away from analogue and ISDN lines
  • Handsets and headsets that suit each platform, bought outright or, in some cases, included in your monthly rental, with the options confirmed at quote
  • Set-up and changes: call flows, users and devices configured for you, and help with moves, adds and changes afterwards
  • For BT Cloud Voice, see our sister site cloudvoice.cloud, and for hosted and cloud platforms in depth, cloudphone.cloud

We work with businesses, schools, charities and public sector organisations.

Frequently asked questions

What is VoIP CRM integration?

It is a connection between your VoIP phone system and your CRM. Incoming calls show the caller's record, users dial by clicking a number in the CRM, and each call is logged against the right contact automatically.

Which VoIP phone systems integrate with Salesforce and HubSpot?

3CX publishes integration guides for both, and CRM integration is part of its PRO and AI editions. Microsoft Teams Phone and Webex Calling connect to many CRMs through apps and connectors from the CRM vendor or third parties, so we check the current integration for your CRM before you buy.

Does Microsoft Teams integrate with CRM systems?

Yes. Microsoft's Teams dialer brings Teams calling into Dynamics 365 Sales, and needs Teams Phone, a PSTN route and an assigned number for each user. Other CRMs usually connect through a Teams app or third-party connector.

Can I connect a VoIP phone system to a CRM that is not on the standard list?

Often, yes. 3CX's CRM integration wizard builds a template for any CRM with a REST API, using the CRM's API documentation. Other platforms offer APIs for custom work, which we can scope with you.

Do I need a softphone for CRM integration?

Not necessarily, but it helps. Screen pop and click to call usually run in the phone system's app, web client or a CRM browser extension on the user's computer. Desk phone users can still use them; check how click to call places calls on a handset.

Which 3CX edition do I need for CRM integration?

CRM integration is included in the 3CX PRO and AI editions. It is not part of Basic or SMB Free.
