In short
A VoIP desk phone is an office handset that connects to your network instead of a phone line and registers to your VoIP phone system as an extension. Desk phones come in entry, mid-range and executive tiers; the features that matter are Power over Ethernet, gigabit pass-through, busy lamp keys, a headset port and expansion modules for reception.

What is a VoIP desk phone?
A VoIP desk phone (also called an IP phone or SIP phone) looks like a normal office phone, but it plugs into a network socket rather than a phone line. When it starts up, it registers with your phone system over the network and becomes your extension, with your number, line keys, directory and voicemail.
On the back you will usually find:
- A network port that connects to the office switch, and often powers the phone through Power over Ethernet
- A PC port, so a computer can plug into the phone and share the same network cable
- A headset port, for a wired headset or a wireless headset base
- A power socket, for sites without PoE switches
Many people no longer need one: a softphone app on a laptop or mobile does the same job. Our comparison of softphone vs desk phone helps you decide who does.
Entry, mid-range and executive desk phones
| Tier | Typical features | Suits |
|---|---|---|
| Entry | Mono or small colour screen, a few line keys, speakerphone, PoE | Kitchens, corridors, warehouses, light users and common areas |
| Mid-range | Colour screen, more programmable keys with busy lamp field (BLF), gigabit pass-through, headset port, better speakerphone | Most office staff and team leaders |
| Executive | Large colour or touch screen, many line keys, built-in Bluetooth and Wi-Fi, USB, high-quality speakerphone, sometimes video | Managers, assistants handling several lines, heavy phone users |
| Video desk phone | A camera and larger screen for face-to-face calls | Reception desks, executives and people who meet by video from their desk |
Every tier can make and take calls on your business numbers with HD-quality audio where the codec allows. The difference is how much information and control sits under the user's fingers.

Desk phone features that matter
- Power over Ethernet (PoE): the phone takes power from the network switch, so there is no power adapter at each desk. In a power cut, PoE phones keep working only if the switch is on a UPS
- Gigabit pass-through: a PC plugged into the phone keeps full network speed, so one cable can serve both without slowing the computer
- Busy lamp field (BLF) keys: lights show whether colleagues are free, ringing or on a call, and one press transfers or picks up their call
- Programmable line keys: speed dials, shared lines, call park and features such as do not disturb on a single key
- A headset port with electronic hook switch support: lets a wireless headset answer and end calls away from the desk. See VoIP headsets
- Wideband audio: support for codecs such as G.722 (HD voice) gives clearer calls than a traditional line
- Bluetooth and Wi-Fi: pair a headset or mobile, or connect where there is no network cable
- Expansion modules: extra rows of BLF keys that clip to the side of the phone for reception
Expansion modules for reception
A receptionist needs to see the whole office at a glance. Key expansion modules, often called sidecars, attach to compatible mid-range and executive phones and add rows of keys, each with a light showing whether a colleague is free, ringing or busy. A call can then be announced and transferred with one press, or picked up when a colleague's phone is ringing unanswered.
How the keys behave depends on the platform. Cisco's notes for Webex Calling, for example, say expansion modules on its multiplatform phones are used as overflow when more lines are monitored than the phone itself can show. On Teams, certified phones support delegation, so an assistant can answer, place and pick up calls for a manager. We can set reception keys up as part of VoIP phone system installation, alongside the menus and groups described in VoIP phone system features.
Is a VoIP desk phone the right fit for you?
We will check it against your systems and requirements and recommend the right option.
Choosing a VoIP desk phone by role
| Role | What to look for | Tier |
|---|---|---|
| Receptionist or switchboard | Large screen, BLF keys, an expansion module and a wireless headset with hook switch support | Executive or mid-range |
| Sales, support or accounts | Headset port, good speakerphone, keys for queues and colleagues | Mid-range |
| Manager or assistant | Several line keys, delegation or shared lines, Bluetooth for a headset or mobile | Executive |
| Warehouse, workshop or shop floor | A simple, robust phone, or a cordless handset for people who move | Entry, or cordless |
| Kitchen, lobby or corridor | A shared phone with its own extension and limited functions | Entry |
| Hot-desking staff | Sign-in on any phone, so the user's settings follow them | Entry or mid-range |
Hot desking deserves a word: Microsoft says users of Teams-certified phones can sign in to any phone and get their own contacts, meetings and preferences, then sign out and leave it ready for the next person. Other platforms handle shared desks in their own way, so we plan it with your chosen platform.
Desk phones on each VoIP platform
A desk phone must be on your platform's supported list to be provisioned and updated properly:
- 3CX publishes a list of supported IP phones, with Fanvil, Snom and Yealink as its preferred makers, and provisions listed phones from the 3CX system
- Microsoft Teams Phone uses desk phones Certified for Microsoft Teams, which run the Teams experience with sign-in, calendar join and call queue controls. Compatible SIP desk phones can also sign in through Microsoft's SIP Gateway
- Webex Calling supports Cisco IP phones with multiplatform firmware and Cisco desk phones, with listed third-party phones, including Yealink and Poly, available with approval from Cisco
- Forever UC is app-first, with desk phones as an option, and Forever Teams works in the Teams app with optional Teams-compatible desk phones
Our sister site describes Teams certified phones in more detail, including the licence a shared phone needs.
What makes the best VoIP desk phone?
There is no single best VoIP desk phone, only the best fit for a role and a platform. In practice, the right phone is one that:
- Is on your platform's supported or certified list, so it provisions and updates cleanly.
- Has the keys, screen and headset support the person in that role needs, and no more.
- Is still supported by its maker with firmware updates, which the NCSC's PBX best practice says to apply.
- Suits your network: PoE, gigabit pass-through and a voice VLAN where your switches support them.
- Matches the look and feel of the other phones, so staff can cover each other's desks.
We recommend specific desk phones once we know your users and platform, and we can supply them with the rest of the system.
Buying VoIP desk phones
VoIP desk phones can be bought outright or, in some cases, included in your monthly rental, with the options confirmed at quote. Because many users only need a softphone, we suggest desk phones where they genuinely help, which keeps hardware to what you will use.
Contact us with a rough count of reception staff, desk users and shared areas, and tell us which platform you use. The VoIP handsets for business hub covers the other device types, and our sister site's guide to VoIP phones for business compares handsets across cloud platforms.
How Forever Systems helps you choose a VoIP phone system
We supply and support several VoIP platforms, so we can recommend the one that fits how your team takes calls rather than fitting your business around one product.
- Platform advice across hosted 3CX, Microsoft Teams Phone, Webex Calling, Forever UC and Forever Teams, with SIP trunks for phone systems you already own
- A requirements check of your broadband, network and routers before anything goes live
- Numbers and porting: we can help you keep your existing business numbers and plan the move away from analogue and ISDN lines
- Handsets and headsets that suit each platform, bought outright or, in some cases, included in your monthly rental, with the options confirmed at quote
- Set-up and changes: call flows, users and devices configured for you, and help with moves, adds and changes afterwards

We work with businesses, schools, charities and public sector organisations.
Frequently asked questions
What is a VoIP desk phone?
A VoIP desk phone is an office handset that connects to your computer network instead of a phone line and registers to your VoIP phone system as an extension. It usually has a network port, a PC port, a headset port and Power over Ethernet support.
What is the best VoIP desk phone?
The best VoIP desk phone is the one on your platform's supported list with the keys, screen and headset support the user's role needs. Reception suits a large screen with busy lamp keys and an expansion module; most office staff suit a mid-range phone.
Do VoIP desk phones need a power supply?
Yes. They take power either from a local adapter or from the network switch using Power over Ethernet (PoE). In a power cut they keep working only if the switch or adapter is on battery backup such as a UPS.
What is a BLF key on a VoIP phone?
A busy lamp field (BLF) key shows a colleague's status with a light: free, ringing or on a call. Pressing it can call, transfer to or pick up the colleague's call. Reception phones often add expansion modules for more BLF keys.
Can I plug my computer into a VoIP desk phone?
Yes, most desk phones have a PC port. Choose a phone with gigabit pass-through so the computer keeps full network speed through the phone.
Do VoIP desk phones work with Microsoft Teams?
Phones Certified for Microsoft Teams run Teams natively, with sign-in, meetings and call queue controls. Compatible SIP desk phones can also make and receive Teams calls through Microsoft's SIP Gateway, and each user needs a phone number with PSTN calling enabled.
